New Faculty Appointments and Attachments (Salaried and OPS)

Appointments for new Faculty are processed through the Smart Onboarding portal. A job offer (eRecruit) should be initiated to start the onboarding process. Instructions and resources are located on the Human Resources Faculty Recruiting page.

Faculty Recruiting Requirements:

  • Faculty Applicant Flow log (PDF) if the department accepted any Curriculum Vita (CV) outside of OMNI.
    • If a vita is received outside of OMNI, a date stamp indicating the date it was received should be included. Vitas should be received on or before closing date of the position advertisement.
  • A copy of a current vita
  • Original Official transcript for all new positions (including Visiting, Adjunct, Visiting in Lieu of Adjunct, OPS, and Courtesy, those written into a grant, or other exemptions from advertisement).
    • Verification of Educational Qualifications - An original official transcript, with seal and/or signature. If it is an electronic transcript it should be sent to the department or HR directly from the school and not to the student. Transcripts issued to student are only acceptable if they arrive in sealed unopened envelopes. If a department wishes to open the envelope, they must initial and date when the transcripts were opened.
    • International Degrees - The transcript must be evaluated by a certified external agency that provides credential evaluations and must contain a notarized translation. The National Association of Credential Evaluation Services (NACES) provides a list of certified external agencies (e.g. World Education Services, Inc. and Josef Silny & Associates, Inc. International Education Consultants).
  • Three letters of recommendation (with signatures) for initial salaried appointment. Originals are preferred, but copies, faxes, and emails with electronic signatures are acceptable. Letters are not required for Adjunct, Visiting in Lieu of Adjunct, OPS, or Courtesy appointments.
  • An original offer letter must be submitted with all new salaried faculty appointments.
  • Faculty Contracts are should be completed for all salaried appointments.
  • Additional requirements for all New Employees:
    • Completed Smart Onboarding invitation
    • Notarized Loyalty Oath
    • Social Security card or application receipt
    • Form I-9 must be completed by the department's registered Guardian user according by the established federal deadlines.
